Everywhen transforms workplace operations with Apogee partnership

Organisation achieves 28% contractual savings, with expectations to attain an additional 19% reduction

 

Maidstone, UK, 02, June 2025 – Everywhen, formerly Ardonagh Advisory and one of the world’s leading independent insurance brokers, has partnered with Apogee Corporation, the managed workplace services (MWS) provider, to streamline its workplace and business continuity operations across the UK.

To facilitate the company’s move to hybrid working and support its digitalisation goals, Everywhen needed a modern workplace infrastructure through which it could better serve colleagues while reducing costs. By partnering with Apogee to enhance its IT and document management processes, the company has boosted colleague efficiencies, cut contractual costs by 28%, and reduced its reliance on in-office equipment to facilitate flexible working capabilities for 9,000 colleagues.

A key focus for Everywhen was replacing a high-cost, asset-heavy print infrastructure with a more agile model. Apogee delivered a fully managed print service under a flexible leasing agreement, which was followed by the introduction of OneSource – an outsourced document service that enables colleagues to remotely send documents for printing and mailing in a secure and compliant manner. Incoming mail was also rediverted and digitised, ensuring uninterrupted access to critical documents from any location.

In addition to significantly reducing expenditure on equipment, paper and stationery, this approach transformed the organisation’s operational resilience, freeing staff from time-consuming manual processes and allowing them to focus on client service - whether working remotely or from the office.

Building on this success, Everywhen is working with Apogee to modernise its hardware estate and ensure colleague have access to the latest technology. Under a leasing model, the company has deployed more than 1,300 laptops to support flexible working, with around 200 additional devices being rolled out each month. This approach also removes the burden of equipment obsolescence and disposal.

The partnership continues to evolve with the implementation of AutoMail, a fully automated document handling solution that ensures data security, reduces manual intervention, and is expected to generate annual savings of 19% for the insurance broker.
