University of Southampton

Apogee installs a fleet refresh of 700 machines across the campuses, with all devices located in specific areas to increase efficiency.

The Organisation

The University of Southampton is acknowledged as being in the top 100 worldwide and top 20 UK education awards league table. With over 23,000 students, over 6,000 members of staff and 7 teaching campuses, the main goal focused on providing a place for students to achieve remarkable things through strong educational offerings. Southampton University is a prestigious organisation and a privilege to serve with MPS solutions.

The Background

The University of Southampton were looking for a fully managed print solution that improved user experience and delivered a new fleet of state-of-the-art devices which reflected their values as an organisation. A core focus was to provide a system to be installed with minimal disruption to the students and staff with no device downtime.

In addition, the University wanted to achieve was to improve their standards of data. This was because the existing reporting systems were inaccurate, with inconsistencies in reported and actual costs.

The Solution

Apogee undertook a full, comprehensive audit and assessment of the University’s print fleet to gain an understanding of their setup and usage.  As part of the scope of works, a solution plan was created based on floorplans and usage data. This bespoke solution plan resulted in Apogee installing a fleet refresh of 700 machines across the campuses, with all devices located in specific areas to increase efficiency.

Apogee also included the provision of two full time engineers who are permanently based on site, supporting all 7 campuses. The engineers carry out regular preventative maintenance, resulting in decreased machine downtime, and dramatically reduce response time as they are already in close proximity. Parts and consumables are stored at the University to further support the organisation’s operations. Alongside the engineers is a dedicated account management team including Client Liaison staff who work with the University to ensure they are fully optimising their managed print solutions.

The Outcome

An implementation plan was established and Apogee’s project delivery team were able to install and set up the solution over the summer break, which meant there was no disruption to staff and students. The solution had been fully tested and was working effectively before the students returned in September.

The installation of a new print management software has enabled the university to have a clearer understanding of the print usage and expenditure across the campuses. The print management software is constantly monitoring devices and through this, is able to address all area of print, copy, fax and scan, including page logs to summaries by user, department, device, or environmental impact.

The University’s operational staff within their IT and print services were extremely helpful and were able to approach this project as a partnership. Apogee see this as a prestige account and are privileged to deliver The University of Southampton’s MPS solution.
